Every growing business hits this question: pay monthly for a ready-made tool, or invest once in custom software? As a software developer who has built both, here is how I help clients decide.
When Off-the-Shelf Wins
If a $20/month tool does 90% of what you need, buy it. Accounting, email marketing, basic CRMs — these are solved problems. Building your own version would cost thousands to replicate what already exists and is maintained by someone else.
When Custom Software Wins
Custom wins when your process IS your advantage. A booking system built around exactly how your business works, an internal dashboard that replaces five spreadsheets, a customer portal your competitors cannot copy — these pay for themselves. The tipping point is usually when you are paying for three or more subscriptions and still doing manual workarounds.
The Real Cost Math
That $49/month tool costs $2,940 over five years — per user, sometimes. Custom software costs more upfront but you own it, it fits perfectly, and there are no per-seat fees forever. Do the five-year math before you decide; subscriptions are patient little expenses.
The Smart Hybrid Approach
Most of my projects are hybrids: custom software where it matters, connected to proven tools where it does not. A custom client portal that syncs with your existing accounting tool, for example. You get the perfect fit without reinventing the wheel.
Not Sure Which You Need?
Describe your workflow to a developer before you commit either way. I offer honest assessments — if a $30 tool solves your problem, I will tell you to buy it. And if custom is the answer, I will scope it tightly so you pay for value, not hours. Contact me and let's figure it out.
